ACE Nature: Privacy Policy

Introduction

ACE Nature Ltd is a technology company based in the UK. Our focus is on developing Apps and technology for Conservation and the Environment. We are skilled in software and hardware development; mapping; and data and information management/visualisation.

When you submit data via any of our Apps, it is sent to a secure database owned by ACE Nature Ltd. ACE Nature Ltd are committed to keeping your personal data safe:

We will only ask for your personal data if there is a legitimate need to collect it (e.g. to check details about an interesting wildlife sighting).
We will only give access to personal data to those who have a legitimate need to see it, and where possible this will be specified for the App(s) that this relates to.
We may need to disclose your data if required to the police, regulatory bodies or legal advisors.

Your access to your data held by ACE Nature Ltd

You have a right to ask for a copy of the information that we hold about you. To request a copy, please contact us at privacy at acenature.org outlining what you would like a copy of, along with proof of your identity.

You have a right to ask us to restrict or stop processing your personal data, and to erase any personal data unless it is required for legal or financial reasons – please contact us as above if you would like us to do this. All nature/wildlife records will be retained but with no link being kept as to who this data was provided by.

Data access

Data relating to, for example, nature/wildlife and sightings (ie. non-personal data) will be accessible in ways agreed with our partners and may be made publicly accessible if our partners agree that this will not cause harm to the species themselves. This data will not contain any of your personal details.

ACE Point Sightings App Privacy Policy

The ACE Point Sightings App has been developed with two main aims:

To provide an interactive and informative way for people using the App to record species that they see, and keep a personal record of these sightings
To simultaneously provide the species sightings data recorded by users of the App to local biological records centres to support their efforts in protecting wildlife and engaging the public.

The ACE Point Sightings App records the following data related to you and your device:

Device ID: This is a randomly generated device ID that is created to link the App to the device that you are using the App on. It is required so that all records that you create in the App can be linked together as from one device. There is nothing about the ID that tells us that it is you. If you choose to remain anonymous, then we will not be holding any personal data about you.

If you opt to register on the App, the following additional information is recorded:

User name: When you register, you can choose your own user name. This can be your real name, or any name of your choice. If you are a member of the Derbyshire Ornithological Society (DOS), it would be helpful if you can use the same name/initials that you normally use for submitting records to DOS.
Email Address: Your email address is useful to us and our partners, as it will enable us to contact you if we have any queries about your sightings.

The ACE Point Sightings App records the following data related to the species that you see:

Taxon – ie. the species
Count – number of each species
Location – the location of the species sighting
Time – the time at which the species was sighted
Sighting type – ie. individual sightings from one location, or a 5 minute point count

What happens to the data

The following data are stored on your device:

The randomly generated device ID
Your name and email address if you have registered

All data mentioned above are submitted to the ACE Nature database. In this instance we are partnering with Derbyshire Wildlife Trust and the Derbyshire Ornithological Society. Therefore, data relating to you and your device as described above may be passed on to representatives from Derbyshire Wildlife Trust and the Derbyshire Ornithological Society, as well as staff from ACE Nature Ltd, for the purpose of maintaining the wildlife records, and to enable them to contact you if they have questions about your sightings.
